New Intranet site on Sharepoint

Hi Team Carlsbad,  

 

To support the city’s interdepartmental collaboration and make sure we’re using our time and resources as efficiently as possible, we are announcing the soft launch of the new Intranet site which is now being hosted on SharePoint.  

 

Many thanks to all the departments who have been working together on this so far. Feel free to explore the new site and let us know your feedback by emailing us at communications@carlsbadca.gov.  

 

What is the Intranet site for? 

  • Inside Carlsbad is an internal site for city employees only.  

  • It’s a central location to host internal documents, policies, procedures, news and other frequently referenced shared resources needed by staff across different departments.  

 

Why the change?  

  • The old Intranet platform Civica is outdated and vendor support for the site has ended.   

  • The old site is “read only” and can’t be updated. Content uploaded to the old Intranet asset library should be considered outdated and will no longer be accessible this Friday.   

  • Please access the latest templates and resources from the Sharepoint Intranet site.  

 

What does a soft launch mean? 

  • Updating all the information on department pages is a work in progress, but it’s at a point where staff can start using it, while departments continue to organize documents within the system.  

  • This week on Friday, Dec. 20, you’ll notice a new landing page whenever you open a new browser or tab.

Transitioning our internal documents and information to SharePoint has many benefits including:  

  • Organization: All the forms, contracts, policies and templates are kept in the main directory of the city’s Intranet site. This is the biggest change from the old Intranet, where documents were linked on pages. Now they’re organized in folders and having these templates, forms and policies in one central place also ensures we use the most accurate information.    

  • Anywhere access: SharePoint is accessible from any device with an internet connection, making it ideal for remote or hybrid teams. Staff can access documents from anywhere, at any time, increasing productivity and flexibility. 

  • Familiarity: Many teams have already transitioned their documents over to Sharepoint and it’s user-friendly.  

 

What if I need to edit information within the Intranet folders or pages? 

  • Every department has assigned a staff person to make edits to their department’s documents and pages. If you have recommended changes, please contact your department’s administrative support.  

  • For help identifying who can edit your department page, please contact communications@carlsbadca.gov.  

 

What if my department page needs design changes?  

  • The Communication & Engagement Department can help you redesign a department page.   

  • Each department is responsible for keeping their Intranet page and associated shared documents updated.  

  • Please refer to the Intranet style guide and users manual for managing content.
